Accountant

With nine offices located throughout the state, Indiana Landmarks helps people rescue endangered landmarks and restore historic neighborhoods and downtowns.

The organization is seeking a full-time Accountant, working 37.5 hours per week. The position is based at our headquarters located at 1201 Central Avenue in Indianapolis. Hours are typically 8:30 a.m. to 5:00 p.m. with some remote work possible. Salary range is $58,000 to $62,000 and will be commensurate with experience. Indiana Landmarks is an Equal Employment Opportunity employer.

RESPONSIBILITIES

  • Record cash receipt journal entries.
  • Prepare monthly general ledger account and bank reconciliations.
  • Track revenue and damage deposits for events.
  • Generate and record invoices for leases and other services.
  • Calculate and remit monthly state sales tax.
  • Assist in preparations for Board committee meetings (Finance, Investment & Audit) including ordering lunches, documenting attendance, and transcribing minutes.
  • Train as a back-up for payroll and accounts payable processing.
  • Assist with annual audit by preparing workpapers and responding to audit requests.
  • Assist with real estate transactions including tracking expenditures and restricted donations.
  •  Assist with endowment fund tracking and reconciliations.
  • Train on front-desk responsibilities and fill-in when office manager takes PTO.
  • Prepare PCI compliance reports.
  • Prepare NDT materials.

The ideal candidate will:

  • Have strong computer skills, including proficiency with Microsoft Office systems. Experience with Financial Edge accounting system is a plus.
  • Be able to prioritize tasks and manage several projects simultaneously.
  • Have strong organizational skills and the ability to remain flexible to ever-changing logistics.
  • Demonstrate superior customer service skills.

EDUCATION & EXPERIENCE

  • Bachelor’s degree in accounting required.
  • Three to five years of experience in financial administration; nonprofit experience is strongly preferred.

Summer Internships, Central Regional Office

Indianapolis, Indiana

Indiana Landmarks, the country’s largest statewide historic preservation non-profit organization, offers two full-time paid summer internship opportunities. The positions will conduct an annual assessment of historic properties in Indianapolis within the organization’s covenant and easement program and will include additional heritage-based projects. The internships will last a period of 12-16 weeks beginning in May 2024. The positions will be based in Indianapolis, Indiana.

QUALIFICATIONS
Applicants should have a working knowledge of nineteenth- and twentieth-century architectural styles, with an emphasis on vernacular building types. The interns must have a reliable vehicle and be familiar with digital photography. Previous photography experience is helpful. Graduate students studying historic preservation or a related field are preferred, although students pursuing a degree in law may also find the internship of particular interest.

PAY
The internships begin in May 2024 and are expected to end in August. Dates are somewhat flexible, but the intern is expected to complete the project before returning to school or another job. The hourly rate of pay is $16 per hour, and reimbursement for mileage is $.67 cents per mile. Digital camera and computer are supplied. The intern is responsible for their own food and lodging, though assistance in finding housing is available. 

JOB DESCRIPTION
Indiana Landmarks has one of the most extensive easement and covenant programs for historic structures of any similar not-for-profit organization in the country. The work of the interns will build on monitoring work that has been done in past years and aim to complete a statewide, comprehensive analysis. After an initial training period, work will begin in the field. Interns will assess and record physical conditions and possible alterations of each protected property. Interns will need to interact with property owners. Additional projects and duties will be assigned by the intern’s supervisor.

Director, Southwest Field Office

Evansville, Indiana

Indiana Landmarks, the largest statewide preservation organization in the U.S., seeks a professional to represent the organization’s preservation efforts within a six-county area of southwestern Indiana including Gibson, Pike, Posey, Spencer, Vanderburgh and Warrick counties. The Director of the Southwest Field Office also manages a contractual arrangement with Historic New Harmony related to construction management and preservation of certain buildings in the New Harmony National Historic Landmark District. The full-time salaried position, which is based in Evansville, Indiana, reports to the Vice President of Preservation Services in Indianapolis, Indiana. The starting annual salary range is $50,000-$52,000. Indiana Landmarks also offers a generous and comprehensive employee benefits package.

Responsibilities include:

  • Identify endangered historic structures within the region, determine significance, and help formulate what strategies the organization should undertake to preserve them;
  • Provide technical assistance to local preservation commissions, government officials, community organizations, and other groups and individuals interested in preserving historic structures;
  • Actively work with communities to save endangered structures by assisting with advocacy, fundraising, marketing and capacity-building of local historic preservation organizations;
  • Promote the organization’s architectural façade easement program; secure easements on historic properties and monitor existing easement/covenant properties on an annual basis;
  • Oversee stabilization/rehabilitation measures and marketing of Indiana Landmarks-owned properties acquired through the organization’s Endangered Places Acquisition Fund;
  • Contribute research, content, photographs, and other information for Indiana Preservation, Indiana Landmarks’ bi-monthly magazine and a monthly e-newsletter on preservation activities in the region; and
  • Lead or assist with other projects and programs of Indiana Landmarks, as assigned.

Qualifications:

  • Knowledge of historic preservation principles and programs, as well as national, state, and local laws and procedures relating to historic preservation;
  • Understanding and knowledge of rehabilitation practices and The Secretary of the Interior’s Standards and Guidelines for Rehabilitating Historic Buildings;
  • Knowledge of project and construction management and current best practices;
  • Excellent organizational, communication, and problem-solving skills;
  • Proven “people” skills, including ability to interact with and motivate individuals while also working independently;
  • General knowledge of computers, photography, and grant-writing; and
  • Bachelor’s degree in historic preservation, history, or related field (Master’s degree and/or 3-5 years prior work experience in the field preferred).

Events Coordinator (part time)

Indiana Landmarks, a historic preservation organization, is looking for a part-time Events Coordinator to assist with events at Indiana Landmarks Center, a restored, Romanesque Revival-style church that serves as our headquarters and a rental event venue. Venues on the campus host banquets, weddings and receptions, performances, fundraisers, seminars, meetings, lectures, films, and other special events.

The Events Coordinator works with the Special Events Department to plan, facilitate and promote events and venue rentals at Indiana Landmarks Center, with an emphasis on weddings, but also including concerts, holiday parties, corporate events and internal meetings. The Events Coordinator will be the onsite Events Department representative overseeing client rentals during assigned events, and will assist in promoting wedding and event rentals through managing social media accounts, conducting site tours with prospective clients, and following up with wedding and other event leads.

Duties and Responsibilities

  • Work closely with the Special Events Department to:
    • Respond to facility rental inquiries and client leads in a timely manner
    • Conduct site visits for potential clients
    • Create and send rental event proposals and event invoices, schedule and maintain events on the rental calendar, create and manage client files
    • Routinely follow up with clients to ensure that contracts/proposals, payments and other required documents are processed according to established deadlines
    • Communicate with clients throughout the event planning process and coordinate event details with caterers and other relevant vendors
    • Oversee day-of event coordination: managing client needs, caterers and other vendors
    • Facilitate post-event correspondence for clients and vendors
    • Work with the accounting department to process rental payments and refunds in a timely manner
  • Establish and maintain cooperative relationships with clients and event vendors
  • Meet regularly with the Director of Special Events to discuss issues related to events, clients, and vendors
  • Assist with Indiana Landmarks sponsored events such as our annual holiday concert program, art shows, concerts, lectures, annual meeting and annual fund raising event.
  • Create social media content for Facebook and Instagram, managing posts and responding to followers.
  • Other duties as assigned

Knowledge, Abilities, and Skills

  • Experience in event coordination/management is appreciated, but not required.
  • Strong ability to manage several different projects simultaneously and prioritize tasks
  • Knowledge of social media platforms and ability to manage and create content
  • Detail-oriented and customer focused
  • Able to remain calm and professional under pressure
  • Able to work with minimal supervision, comfortable being the sole staff person on site for some events
  • Willingness to work nights and weekends as required by the event schedule
  • Proficiency in Microsoft Word, Outlook, PowerPoint and Excel
  • Ability to move tables, chairs, boxes, etc.; can lift up to 30 lbs.
  • Ability to stand for long periods of time
  • Ability to anticipate client needs and willingness to work through the logistics of planning an event.
  • Bachelor’s Degree is preferred

The part-time position pays $17/hour, with a minimum of 20 hours per week, not to exceed 29 hours per week.
